# User Guide for Laserfiche Web Client

# User Guide for Laserfiche Web Client

## Overview

OneSpan Sign for Laserfiche enables users to quickly obtain secure, legal, and compliant e-signatures for their documents directly from Laserfiche. With this integration you can:

- Initiate e-signatures directly from Laserfiche
- Authenticate signer identity using multiple methods
- Transform any mobile device into a signature capture pad
- Encrypt signatures using advanced tamper-proof digital signature technology
- Demonstrate compliance with comprehensive audit trails showing who signed, in what order, when, and how

Before you begin: Complete all steps in the Installation and Configuration Guide before using this guide.

## Terminology

| Term | Definition |
| --- | --- |
| Connection Profile | A named configuration combining a OneSpan Sign account, Laserfiche repository info, callback info, and download preferences. Determines which OSS account to use and how signed documents are handled. |
| Transaction / Document Package | An object in OneSpan Sign that holds all documents and signer definitions for a signing session. |
| Template | A reusable Document Package with pre-defined documents and signer placeholders. Helps automate future transactions. |
| Placeholder | A stand-in signer in a template. Must be replaced by a real signer before the transaction is sent. All associated signature fields transfer to the real signer. |
| Laserfiche Document | Any electronic document stored in Laserfiche. |
| Local Document | Any file from the local file system. |
| Signer Id / Placeholder Id | An identifier used to link a signer to signature fields when using Document Extraction or Text Tag Extraction. See OneSpan Sign documentation for details. |

## Start Signing Documents

The OneSpan Sign integration can be initiated from three entry points in Laserfiche:

### 1. Context Menu (Folder View)

Select one or more entries in the Laserfiche folder view. Right-click any selected item, then choose Custom Actions → Send with OneSpan. A modal window opens with the OneSpan Sign UI pre-populated with the selected documents.

### 2. Document Viewer

Open a document in the Laserfiche Document Viewer. Open the menu, then select Send with OneSpan. A modal window opens with the current document ready to transact.

### 3. Right-Corner Menu (Folder View)

Open the menu in the top-right corner of the Laserfiche Folder View and select OneSpan. This opens the Transactions list tab. Click New Transaction to start — no documents are pre-loaded, so you must add them manually.

### Transaction Info

#### Connection Profile

The default Connection Profile is selected automatically when you open the UI. Change it using the dropdown in the top-right corner if needed.

#### Sender Email (Required)

The default sender email is pre-populated. Click the field to open a list of available senders from your OSS account and select a different one if needed. Max 100 characters.

#### Transaction Name (Required)

A descriptive name for this transaction. Max 100 characters.

#### Transaction Description (Optional)

Additional details about the transaction. Max 256 characters.

#### Template (Optional)

Select a template to pre-populate documents (with signature placeholders) and settings. If signers are provided with matching Placeholder IDs, the placeholders will be replaced with the real signer's signature fields.

### Transaction Settings

#### Expiry Date (Optional)

Click the Expiry Date field or the calendar icon to open a date picker. Select any future date. The field is read-only — use the Clear button on the calendar popup to remove the date.

#### Language (Optional)

All communications (emails, signing UI) will use the selected language.

#### Enable In-Person Signing (Optional)

Toggle this option to enable in-person signing mode. See OneSpan Sign documentation for details.

#### Review Before Completion (Optional)

Toggle this to require a review step before the transaction is marked complete.

#### Email Reminders (Optional)

Click the Email Reminder field or the pen icon to configure reminders:

1. Enable the Email Reminders toggle.
2. Enter a value in Send reminder in (days) — the first reminder sends after this many days. Valid range: 0–1000.
3. Optionally enable Repeat Reminder and set:
  - Number of days — interval between repeated reminders (0–1000).
  - Total Reminders — maximum number of reminders to send (0–5).
4. Click OK to save. The Clear button resets all values. Closing without clicking OK discards changes.

### Signed Documents Download Configuration

After all signers complete signing and the package is completed, the connector can automatically download signed documents back to Laserfiche. Toggle Download signed documents to enable, then choose a download location preference:

| Option | Behaviour | Notes |
| --- | --- | --- |
| Create New Version | Adds the signed document as a new version of the original Laserfiche entry. | If the original is not under version control, it is placed under version control. If locked, download is skipped. Only PDF files support versioning — other types go to the default download location. |
| Original Entry Location | Downloads to the same folder as the original file. | A File Name Suffix Type is required to avoid filename conflicts. Auto-rename is enabled. |
| Other Location | Downloads to a user-defined Laserfiche folder. | Click Destination Path to browse the Laserfiche directory tree and select a folder. File Name Suffix Type is optional. Auto-rename is enabled. |

#### File Name Suffix Type

| Option | Result |
| --- | --- |
| No Suffix (leave as "Select") | No suffix appended. Only available with Other Location. |
| Package Id | OSS package ID appended with an underscore (e.g., filename_abc123.pdf). |
| Timestamp | Timestamp appended with an underscore. |
| Enter Manual | Custom suffix of your choice. Optional, max 50 characters. |

Note: Documents sourced from the local file system are always downloaded to the Default Download Location, regardless of the above settings. Auto-rename applies if a file with the same name already exists.

### Laserfiche Configuration (Metadata Carry-over)

These options copy metadata from the original document to the signed document:

| Option | What it does |
| --- | --- |
| Copy existing template | Applies the original document's template to the signed document. |
| Copy existing tags | Copies all tags from the original to the signed document. |
| Copy existing fields | Copies field values (from template or additional fields) to the signed document. |
| Create link | Creates a Laserfiche link between the original and signed document entries. |

Note: Metadata carry-over options do not apply to documents sourced from the local file system.

### Evidence Summary Download Configuration

Toggle Download evidence summary to download the audit evidence summary after package completion. Settings mirror those for signed documents above, with an additional option to create a link between the evidence summary and signed documents.

### Message to All Recipients (Optional)

Enter a common message sent to all signers. Max 1,024 characters.

## Add Documents to the Transaction

In the Documents section, click Add and choose a source:

### From Laserfiche

1. Select Laserfiche from the Add menu.
2. In the file selector popup, browse the Laserfiche directory tree on the left.
3. Check the boxes next to the entries you want on the right-side list.
4. Click Add. Closing or cancelling without clicking Add discards selections.

### From Local File System

1. Select Local Drive from the Add menu.
2. Use the OS file picker to select one or more files.
3. Click Open. The files are added to the documents list.

### Supported File Types

- .pdf
- .docx
- .doc
- .rtf
- .odt

### Remove a Document

Hover over a document in the list to reveal actions, then click the Delete (✕) icon.

### Advanced Document Setup

Hover over a document and click the Settings (⚙) icon to access:

| Option | Description |
| --- | --- |
| Layout | Select an existing OneSpan Sign layout to apply to this document. Optional. |
| Document Extraction | Enable to extract signature fields embedded in the document. See OneSpan Sign documentation. |
| Text Tag Extraction | Enable to extract signature fields from text tags in the document. See OneSpan Sign documentation. |

Click Save to apply settings. Cancel or Close discards changes.

## Manage Signers

### Add a Signer

In the Signers section, click Add to create a new signer row. Hover over the row and click the fields to fill in information:

| Email | Yes | 256 chars | Must be a valid email address. |
| Signer Id / Placeholder Id | Conditional | 64 chars | Required when Document Extraction or Text Tag Extraction is enabled, or when using a template with placeholders. Leave empty otherwise. |

| Company | No | 64 chars | — |

### Advanced Signer Setup

Hover over a signer row and click the Settings (⚙) icon to access four sections:

#### Recipient

Same fields as the main signer row — use this to edit them in a larger form.

#### Authentication

Choose how the signer's identity is verified before signing:

| Method | How it works |
| --- | --- |
| Email (default) | Signer logs into their email account to verify identity. |
| SMS | A one-time code is sent to the signer's mobile number. A valid phone number is required. |
| Q & A | Signer answers two security questions defined here. Check Mask the answer to hide the answer during entry. |

#### Attachments

Request one or more files from the signer before they can complete signing:

1. Click Add in the Attachments section.
2. Fill in:
  - Name — required, max 100 chars.
  - Description — optional, max 256 chars.
  - Required — toggle on if the attachment is mandatory.
3. To remove an attachment request, hover over it and click Delete.

#### Advanced

| Option | Description |
| --- | --- |
| Personal Message | A message sent only to this signer. Optional, max 1,024 chars. |
| Allow Change Signer | Allows the signer to delegate signing to someone else. |
| Email Delivery | Delivers the signed document to the signer as an email attachment. |

### Signer Order

Toggle Set signing order to enforce a sequential signing order. Once enabled, drag signers using the drag handle to reorder them.

### Add Sender to Signer List

Toggle Add Sender to Signer List to include the transaction sender as a signer. Disabled by default.

### Remove a Signer

Hover over the signer row and click the Delete (✕) icon.

## Create and Send for Signing

### 1. Create the transaction

After filling in all required fields, click Create. The system validates all inputs and sends the data to OneSpan Sign. A transaction is created in Draft status and the OneSpan Sign Designer opens in a modal window.

### 2. Place signatures in the Designer

In the Designer, select a signer from the right panel, then drag the desired signature control (Signature, Signer Initials, Signing Date, etc.) to the correct position on the document. Refer to OneSpan Sign documentation for full Designer details.

### 3. Send the package

Click SEND TO SIGN in the Designer. Confirm the send in the confirmation dialog by clicking SEND. Signers will receive email (or SMS) notifications when it is their turn to sign.

If you close the Designer without sending, the transaction remains as a Draft and can be sent later from the Transactions tab.

## Manage Transactions Tab

Access the Transactions tab by opening the right-corner menu in Laserfiche Folder View and selecting OneSpan. Deleted and archived transactions are not shown.

Each page displays 10 transactions. Use the page number navigation or next/previous buttons to browse.

### Available Actions

Hover over a transaction row to reveal available actions:

| Action | Available when | Behaviour |
| --- | --- | --- |
| Edit | Draft | Opens the OneSpan Sign Designer for editing. |
| Edit | In Progress | Shows a confirmation to revert status to Draft, then opens the Designer. Click OK to continue or Cancel to abort. |
| Archive | In Progress, Completed | Archives the transaction and removes it from the list. |
| Delete | Any | Permanently deletes the transaction after confirmation. |
| Sync | Any | Pulls the latest transaction info, documents, and signer status from OneSpan Sign. |
| Download | Completed | Downloads documents based on the Download Preferences configured in the transaction. |
| View Settings | Any | Click the transaction name to open a read-only summary of all transaction settings. |
| Resend Email | In Progress | Click the Email Resend icon next to a signer to re-send the signing invitation. |
