Preparing a transaction with OneSpan Sign for Sharepoint
The following provides an overview of a typical OneSpan Sign for Sharepoint workflow:
Log In to Your SharePoint Site:
As an employee, log in to your SharePoint site using your credentials.
Navigate to the Designated Folder for Agreements:
Within the directory Documents, locate the folder named Agreements to Sign.
Show only that folder and the specific document that needs to be signed.
Create a New List: Agreements to Sign:
Create a new list within SharePoint called Agreements to Sign.
Include Transaction Details and Recipient Information:
Within the list, include the following information:
Title of the Transaction: Describe the purpose of the agreement.
Recipient’s Contact Information: Provide details about the person who needs to sign.
Documents to Be Signed: Attach the relevant documents.
Saving the Entry Initiates the Signature Process:
Saving the entry in the list automatically launches the eSignature process.
The agreement is sent to the designated recipients for eSignature.
Recipient Prompt and Secure Digital Signing:
Recipients receive an email notification prompting them to sign the document securely.
They access the document and digitally sign it using OneSpan Sign.
Automatic Completion and Storage:
Once all required signatures are captured, the document is automatically marked as Completed.
The fully executed agreement is securely stored within SharePoint, in the Signed Retainer Documents folder.
The Signed Retainer Documents folder consists of the signed document and its embedded audit trail. The audit trail provides a detailed overview of the entire signing process. Your organization can audit the entire signing process, including who signed the document, when it was signed, and any modifications that were made.
This automatic document management eliminates the need for manual uploading and ensures that all signed documents are securely stored in SharePoint.
