Using OneSpan Sign in Workday Business Process
This integration allows you to add a signature step in any of the workday business processes that has a signing requirement.
Once the previous step of the business process is completed, the configured signature step is triggered, and documents are sent out for signing to the recipients. Once all required signatures are captured, the transaction is marked as completed and signed documents including evidence summary are stored in the worker/candidate’s Workday profile and the next step in the business process is triggered.
Using OneSpan Sign for Workday as a Talent Acquisition Manager
The following is a typical scenario involving a talent acquisition manager, and OneSpan Sign for Workday:
Log In to Workday: The talent acquisition manager logs in to their Workday application.
Create a Worker Profile: They create a worker profile within a Workday business process.
Agreement Sent for eSignature: The agreement is sent to the worker for eSignature via email 7 days prior to the hiring date.
Worker eSigns Securely: The worker securely accesses the document and digitally signs it.
Automatic Completion and Storage: Once all required signatures are captured, the document and the evidence summary are automatically marked as Completed and stored in the worker’s Workday profile.
Human Resource Manager’s Workflow Using Workday Reports
Create a New Report: The Human Resource manager creates a new report in Workday named Privileged Access Agreements.
Include Relevant Employees: Within this report, the Human Resource manager includes all employees who need to sign the agreement.
Set Date and Time for eSignature: The Human Resource manager sets a specific date and time for the agreement to be sent for eSignature.
Recipient Notifications: At the designated time, recipients receive email notifications prompting them to sign the document securely.
Automatic Completion and Storage: Once all required signatures are captured, both the signed documents and the evidence summary are automatically marked as Completed and stored in each employee’s Workday profile.
The Completed and Signed Agreements folder consists of the signed document and its embedded audit trail. The audit trail provides a detailed overview of the entire signing process. Your organization can audit the entire signing process, including who signed the document, when it was signed, and any modifications that were made.
This automatic document management eliminates the need for manual uploading and ensures that all signed documents are securely stored in Workday.
